Set-up and unloading:
  • Exhibitor set-up begins at 9:00 AM
  • It is not possible to set-up or drop off items in the hall before Sunday morning and remember everything goes up in the service elevator which is very slow so allow a little extra
    time for setting up.
  • You will be able to unload your material on the front-side of the building, you will see "Unloading Zone" signs.
  • All exhibitors will use the extra large freight elevator so please work together to coordinate your loads.
  • Space for cars is limited and parking is only allowed for unloading and loading.
  • Your vehicle must be moved to a parking lot on the south side of the complex as soon as you are unloaded.
  • You may proceed directly to your table, there is no need to check in.
  • We suggest you bring a trolley if you have a large load.

    Ample parking is on site in the parking lot on the south side of the building.
Deliveries:  
  • If you have something that needs to be delivered to the event, please send it to the address below.
  • Items must not arrive before 3PM, Saturday the 14th of November. If your delivery arrives before then the Museum will charge a handling fee at a rate of 96 CHF per hour.

Table info:
  • For floor plans and table selection click here.
  • Table size 180 cm wide and 80 cm deep. There will be approximately 50 cm between tables and 80 cm behind the table, however these figures may vary depending on your
    location.
  • If you ordered a back wall, it will be at least 200 cm wide and 200 cm tall (in some positions it will be larger). If you have a back wall option you should use "blutac" or tape or
    string to fix posters etc. no nails or screws please. You will be charged if you damage the walls.
  • Tables will be in position when you arrive. You will receive one table and one chair and an A4 sign with your company's name on it.
  • Unless you have ordered a back wall you will be back to back with another table.
  • We strongly suggest you bring a table cloth and decorate your table carefully. To get some ideas of how to set up your table click here.
  • If you need a marketing materials or a graphics designer, printer etc.  click here.
  • The key to a successful exhibition is an interactive display that invites the visitors to stop and spend time with you. There are many ideas that can be used like; games, prize
    drawings, curious displays that invite questions, free coffee, chocolates or pens etc.. Anything that will stop the visitor from passing you by is worth doing.
  • Remember to stand during the expo as much as possible because sitting exhibitors look bored and uninterested. Engage your visitors!  Decorate your table! Be creative!

Special conditions:
    Visitors are not permitted to distribute promotional material on the floor. If you see someone doing this, please warn them and let us know as soon as possible.
    You may not pack up your display until 5:00. No exceptions please.

    Wifi is free in the building.
Prize drawings:
  • We recommend offering a prize drawing. It helps visitors to stop at your stand and encourage conversation and it also helps attract more visitors to the event.
  • If you would like to offer a prize drawing just send us an e-mail with the description text exactly as you would like it to read on the web page Please keep it as short as possible,
    1 or 2 lines. We will post it on the web page and on the floorplan/events sheet we hand out during the expo.
  • Prize drawings must be conducted at your table and you are responsible for delivering the prize to the customer. The best way is to print some small registration slips with
    name, address phone etc.. Have the visitors fill them out and drop them into a box. At the end of the day draw the winners and contact them directly after the event.
  • Notification: There are so many prize drawings occurring at the expos now that we can no longer handle making announcements over the intercom, so we ask you to please
    contact your winners directly.
Help us spread the word:
    Expat-Expo is a grass-roots event and we have taken a very different approach to marketing by offering a very affordable exhibitor fees and in return our exhibitors must work
    hard to inform their customers of the event. We are all relying on you to contact your clients and let them know about Expat-Expo, without this community spirit we simply
    couldn't exist. Now is the perfect time to send out a quick e-mail and mention Expat-Expo and your participation to all of your business associates, friends and family.
Name tags:
    We do not supply name tags. Please bring your own.
Flyers:
    About a month before the expo we will send you 80 postcard size flyers for you to give to clients and friends. If you need more just let us know and we will send them to you.
Tips for a successful exhibition strategy:
  • Expat-Expo is an exposition first and a market second. It is designed to give the visitors a taste of what is on offer, make contacts with business owners and pick up
    brochures. If a visitor spends 3 minutes at each booth it will take 4.5 hours to go to 90 stands. There is a lot for them to take in, so don’t expect to grab and hold the
    visitors attention for a long time and don't be insulted if they pass you by. Your objective is to greet as many people as possible and quickly introduce them to your
    product or service. Your emphasis should be on building new relationships and not necessarily selling.
  • Be prepared: Exhibitors often run out of promotional material or product. Bring plenty or make arrangements for someone to bring you extra if needed.
  • Look professional: Dress nicely, be outgoing and smile a lot. Welcome visitors to your table and don't wait for them to initiate contact.
  • Whatever you do, DON'T SIT DOWN. Sitting down sends a message that the visitor is not worth standing up for.
  • Keep statistics: Record how many visitors you had and how much product you sold (or brochures you gave away). This will help you plan for future exhibits and allow you to
    determine the value of your experience at the expo.
  • Think long-term: Every expo exposes your company to new clients. You simply cannot make a memorable impact on the visitors if they only see you once or twice. The key to
    success is a sustained presence in the market. Be patient and exhibit as often as possible.
  • Be flexible: Expat-Expo will expose your products to thousands of potential clients. Do not be discouraged if you do not sell well. Every expo you do will help you to understand
    what the customers want. Pay close attention and adapt your marketing strategy and products to suit the market.
